Roadmaps

Build roadmaps from your initiatives, place them in time, and view them as a board or a timeline.

A roadmap shows when work is expected to land. It is a view over initiatives you already have: you add initiatives to it and place each one in a time period. Each initiative brings its features with it. Nothing is copied, so the same initiative can sit on as many roadmaps as you like, each with its own timing. You might keep one roadmap for the board, one for a product area and one for customers, all built from the same work.

Before you start

  • Open Product Management → Roadmaps in the sidebar.
  • Roadmaps are made of initiatives. Create some initiatives and add features to them first. See Initiatives.
  • Anyone who can open the page can view roadmaps and change how they look on screen. Creating, editing, archiving, adding initiatives, moving cards and saving the view only appear if your role lets you make changes.
  • If you cannot see this page, your organisation may not use it, or your role may not include it. See Understanding roles.

Understanding the roadmaps list

The page shows your active roadmaps as cards. Search with Find a roadmap by name. Each card shows:

ItemWhat it shows
Name and descriptionWhat the roadmap is and who it is for.
View iconWhether the roadmap opens as a board or a timeline.
Time horizonNow / Next / Later, Quarters or Months.
N itemsHow many initiatives are on the roadmap.
Last updatedHow long ago the roadmap last changed.

Select a card to open the roadmap. Archived roadmaps are not listed.

Create a roadmap

  1. Select New roadmap.

  2. Enter a Name, for example “FY27 Product Roadmap”. This is the only required field.

  3. Optionally enter a Description, such as who the roadmap is for.

  4. Choose a Time horizon:

    Time horizonColumnsBest for
Now / Next / LaterNow, Next, LaterShowing order of priority without committing to dates.
    QuartersQ1, Q2, …Planning by quarter.
    MonthsJan, Feb, …Detailed, near-term planning.
  5. Select Create roadmap.

To change the name, description or time horizon later, open the roadmap and select the pencil icon (Edit roadmap). If you change the time horizon, existing placements are kept: Now / Next / Later placements and calendar placements are stored separately, so switching back restores them.

Add initiatives to a roadmap

  1. Open the roadmap and select Add or remove. The Add or remove initiatives panel opens. Ticked initiatives are already on the roadmap.
  2. Search with Find an initiative by name or theme, or scroll the list.
  3. Tick the initiatives to add. Untick any you want to take off. Each row shows the initiative’s status, number of features and product area, and whether it will be added, will be removed or is already on this roadmap.
  4. Check the summary at the bottom, for example 2 to add · 1 to remove.
  5. Select Save changes.

Initiatives added this way land in Unscheduled until you place them.

To add straight into a period, select + on a column header in the board view (Add features to followed by the column name). Anything you add from there lands in that column. The + only appears when the board is not grouped.

Taking an initiative off a roadmap keeps the initiative and its features exactly as they are.

Switch between Board and Timeline

Use the Board / Timeline switch in the toolbar.

  • Board shows a column for each time period, with a card for each initiative. You can drag cards between columns.
  • Timeline shows each initiative as a bar across a calendar. It is read-only.

Working with the board

Columns

Time horizonColumns
Now / Next / LaterNow (violet dot), Next (blue dot), Later (grey dot) and Unscheduled.
Quarters or MonthsOne column per period, such as Q3 2026 or Aug 2026, and Unscheduled. The current period has a violet dot.

In Quarters and Months, the board shows every period that has something in it, plus the current period and a couple ahead, so there is always somewhere to move work to.

Move an initiative to another period

  1. Drag the card to another column. The initiative is rescheduled on this roadmap only.

Dropping a card on Unscheduled removes its placement, including any dates. The order of cards within a column has no meaning.

Reading a card

Each card shows the initiative’s name, which opens the initiative, and its ID. Depending on the card details you choose (see below), it can also show:

  • the status
  • the period or dates it is placed in
  • the product area or theme
  • the first strategic objective it is aligned to, with +N for any others
  • delivery progress, shown with a rocket icon as N/M: how many of its features are in delivery, out of the total
  • the owner’s avatar

Below that is the list of features. The first three are shown; select N more to see the rest and Show fewer to collapse. A green dot next to a feature means it has a delivery work stream. Select a feature to open it in the Portfolio. An initiative with no features shows No features yet.

If every feature in an initiative is parked or withdrawn, the card is dimmed and its status reads Nothing live.

Remove an initiative from the board

  1. Hover over the card.
  2. Select × (Remove from this roadmap (the initiative and its features are kept)).

Working with the timeline

The timeline lists initiatives down the left and draws each one as a bar across the calendar. A violet vertical line marks today.

  • Zoom: choose Month or Quarter.
  • Use Scroll back, Today and Scroll forward to move along the calendar.
  • Select an initiative’s name on the left to open it.
  • Initiatives with no position are listed in a collapsible Unscheduled section.

Bars are coloured by status:

StatusBar colour
ProposedGrey
PlannedBlue
In progressViolet
CompleteGreen

A bar’s position comes from the period the initiative is placed in on this roadmap, or, if it has none, from the initiative’s own Starts and Ends dates. On a Now / Next / Later roadmap, an initiative placed only in a horizon is drawn faded and outlined. Hover over it to see that it is positioned from the horizon, not a date.

Depending on the card details you choose, a bar can also show how many features are in delivery (N/M in delivery) and the status.

Change how the roadmap looks

The toolbar controls what you see. These changes affect your screen only until you save them.

ControlWhat it does
Group bySplits the roadmap into rows by Strategic objective, Product area, Strategic theme, Owner, Team or Status. Choose No grouping to remove the rows. Each group shows its own count. Strategic objective only appears if your organisation uses objectives.
FilterNarrows the roadmap by Status, Owner, Strategic objective or Product area. Only values that appear on this roadmap are offered. The button shows the number of active filters, for example Filter (2).
ShowChooses the card details: Status, Owner, Planning horizon, Features, Theme / product area, Strategic objective and Delivery progress. The first four are on by default.
Find an itemSearches initiative names, IDs, themes, and the titles of the features inside them.

Active filters also appear as chips below the toolbar. Remove one with its ×, or clear them all at once. If your filters hide everything, you see Nothing matches these filters with a Clear filters button.

Save the view for everyone

When the view on screen differs from the roadmap’s saved view, Save view appears in the header.

  1. Set up the view, grouping, zoom, filters and card details the way you want them.
  2. Select Save view. Everyone who opens the roadmap now sees it this way.

If you leave without saving, the roadmap opens in its saved view next time.

Archive a roadmap

  1. Open the roadmap and select the bin icon (Archive roadmap).
  2. Select Archive roadmap to confirm.

The roadmap disappears from the list. Every initiative on it, and their features, are kept exactly as they are.

What to expect

  • An item’s status on a roadmap follows its initiative’s status, so changing the initiative’s status updates every roadmap it is on.
  • Moving a card on one roadmap does not move it on any other roadmap.
  • Features added to an initiative appear on every roadmap that initiative is on.

Good to know

  • On a Quarters or Months roadmap, an initiative placed only in Now, Next or Later appears under Unscheduled on the board, because it has no calendar position.
  • An empty roadmap shows This roadmap is empty with an Add initiatives button.
  • If the add panel shows No initiatives yet., create an initiative first under Product Management → Initiatives.
  • If a roadmap cannot be opened, you see Couldn’t load this roadmap. Select Back to roadmaps and try again.
