Hold private conversations with Next about your applications, your work and your organisation’s knowledge, using your own files alongside.
My Workspace is your own chat area with Next, the AI assistant built into Paradym Next. Next searches what your workspace knows and shows where each answer came from, so you can check it. You can attach documents and spreadsheets to a chat, keep your conversations for later, and group related chats into spaces.
Use it when you want a longer or more focused conversation than a quick question, or when you want Next to read your own files as well as your organisation’s knowledge.
Before you start
- Open My Workspace from the top of the sidebar.
- My Workspace needs read access to knowledge bases. If you see You don’t have access to My Workspace., ask your administrator about your role.
- If you see My Workspace isn’t set up for your organisation yet., an administrator needs to enable it.
- The chat list on the left is hidden on narrow screens such as phones.
Understanding the page
The page has two parts: the chat list on the left and the conversation on the right.
| Area | What it shows |
|---|---|
| Search chats | A search box that finds your chats by name. |
| New chat | Starts a fresh conversation. Your earlier chats stay in the list. |
| Pinned | Chats you have pinned, so they stay at the top. Only shown once you pin a chat. |
| Spaces | Your spaces, each with the chats inside it. Select + next to the heading to create a space. |
| Recent | Chats that are not in a space. |
| Conversation | Your messages and Next’s answers, with the message box at the bottom. |
When a chat is empty, the conversation area shows Ask anything about your applications. and some example questions, such as Which applications use single sign-on? and What can you do?. Select one to see what Next can do.
Ask Next a question
-
Select New chat.
-
Type your question in the message box, or select one of the example questions.
-
Send the message.
Next shows its progress while it works. If the answer draws on particular applications, you may see which ones it is reading.
-
Read the answer. Underneath, Next shows what the answer is based on:
- the applications it is about — select one to open it in Knowledge Bases
- the files it used, marked as a Space file or a Chat file; read in part means a file was too large to read in full, so the answer may have missed something
- not checked, which you can expand to see anything Next could not check and why
-
If Next asks which application you mean, select one of the options it offers. Your choice is sent as your next message.
When Next returns a table of data, you can select Show query to see how the figures were worked out, and Hide query to close it again. Large tables show Showing first … rows.
If an answer fails, select Retry. A New topic divider in a chat marks where the conversation moved on to something different.
Add your own files to a chat
You can give Next documents and spreadsheets to read alongside your question.
-
Select the attach button in the message box.
-
Choose where the file should go:
- Add to this chat — only this chat can read it
- Add to space ”…” — every chat in the space can read it (only offered when the chat is in a space)
-
Pick the file.
The file shows as Uploading and reading… until Next can use it. It is attached to your next message, so Next knows that “this” or “the attached file” means that file.
-
To take a file off your next message without removing it from the chat, select × on it.
You can attach PDF, Word, text, Markdown, CSV, Excel, PowerPoint, JSON, HTML and image files.
Choose which files a chat can read
The Files button above the message box shows how many files this chat can read. Select it to see them.
| Group | What it lists |
|---|---|
| This chat | Files added only to this chat. |
| Space ”…” | Files shared by the chat’s space, with an Open space link. Only shown when the chat is in a space. |
Every answer reads all included files. To leave a file out of answers without deleting it, switch it off; it then shows Excluded from answers. To delete a file, select the delete icon and confirm. A deleted file is removed for everyone who can see it and cannot be recovered.
A file’s line tells you its state:
| State | Meaning |
|---|---|
| Processing… | Next is still reading the file. |
| Summarising… | Answers can already use the file; Next is still summarising it. |
| Couldn’t read any text | Next could not find any readable text in the file. |
| Excluded from answers | You switched the file off. |
Organise your chats
Each chat in the list has a ••• menu. Hover over the chat to see it.
| Option | What it does |
|---|---|
| Pin / Unpin | Keeps the chat at the top of the list under Pinned. |
| Move to space | Moves the chat into one of your spaces. Remove from space takes it back to Recent. |
| Delete | Deletes the chat and the files added only to it. |
To find an old chat, type part of its name in Search chats. If nothing matches, the list shows No chats match.
What happens next
Your chats are kept until you delete them, so you can come back and carry on where you left off. To keep related chats together with shared files and instructions, create a space — see Spaces.
