Sharing

See which partner workspaces exchange knowledge with yours and which knowledge bases your workspace publishes to them.

Some organisations run more than one Paradym Next workspace, or work closely with partner organisations that do. Knowledge bases can be shared between these workspaces, so one team’s documents can answer another team’s questions.

The Sharing tab in Governance → Knowledge Bases gives you an overview of that sharing. It is a page for reading: it explains what is currently allowed and what is being shared, so a switched-off Share option on a knowledge base has an explanation somewhere.

Before you start

  • If you cannot see this page, your organisation may not use it, or your role may not include it. See Understanding roles.
  • You cannot change anything on this page. Sharing rules are set by an administrator, and the owner of a knowledge base shares it from the knowledge base’s own page.

How sharing works

There are two ways a knowledge base can be shared with a partner workspace. A knowledge base is shared one way or the other, never both.

Way of sharingWhat happens
As a copyThe partner receives a copy of the knowledge base.
Without copyingYour workspace answers the partner’s questions about the knowledge base in place. The partner always sees the current version and stores none of it, but loses access whenever your workspace is unreachable.

An administrator sets the sharing rules. A knowledge base owner can only narrow what those rules allow, never widen it.

Understanding the page

Partner workspaces

The workspaces that answered when yours asked what they publish, with the number of knowledge bases each one publishes to you (published to us).

MessageWhat it means
Asking the partner workspaces…The page is still waiting for answers.
No partner workspace answered. Either no sharing rules exist yet, or none of the partners are reachable — an administrator adds sharing rules.Nothing is shared with you right now, or no partner could be reached.
n partner workspace(s) did not answer, so this list is incomplete. Some partners could not be reached, so the list may be missing workspaces. Try again later.

Published without copying

The knowledge bases your workspace answers questions about in place, with the number of recipients for each and its current state. Select a knowledge base’s name to open it.

If nothing is published this way, the page says Nothing is published this way. Publishing is done from a knowledge base’s own screen.

Share or stop sharing a knowledge base

You do not do this here.

  1. Open Context & Agents → Knowledge Bases.
  2. Open the knowledge base you own.
3. Use its sharing options to share it or stop sharing it.

If the sharing options are switched off there, the sharing rules for your workspace do not allow it. Ask an administrator.

What to expect when sharing stops

Stopping either kind of sharing ends future access only. Answers other workspaces have already written still quote the material they read, and nothing can recall them.

Good to know

  • A partner that is temporarily unreachable can disappear from Partner workspaces until it answers again.
  • Recipients of a knowledge base published without copying lose access while your workspace is unreachable, then regain it.
