Governance · Knowledge Bases
Catalogue
Rename your workspace’s knowledge bases and write the descriptions agents use to decide when to search them.
A knowledge base is a collection of documents that Next and agent packs can search for answers. The Catalogue tab in Governance → Knowledge Bases lists every knowledge base your workspace created, so you can keep their names clear and their descriptions useful.
The description matters more than it might seem. When an agent is deciding whether to search a knowledge base, it reads the description. A clear description means the right knowledge base is used at the right time.
Before you start
- You need permission to change knowledge bases to edit this page. Without it, you see View only — you don’t have permission to change these settings. and the fields are switched off.
- If you cannot see this page, your organisation may not use it, or your role may not include it. See Understanding roles.
Understanding the page
Governance → Knowledge Bases has two tabs:
| Tab | What it is for |
|---|---|
| Catalogue | Name and describe this workspace’s knowledge bases. |
| Sharing | See which partner workspaces this one exchanges knowledge with, and what it publishes. See Sharing. |
On Catalogue, each knowledge base has its own block:
| Item | What it means |
|---|---|
| Knowledge base name (heading) | The current name. |
| Embedding model line | The model the knowledge base was embedded with, followed by — fixed for the life of this knowledge base. |
| Name | Required, up to 200 characters. |
| Description | What is in the knowledge base and when to use it. |
Changes save as you type. Saving… and then Saved appear at the top of the page.
Rename a knowledge base
- Open Governance → Knowledge Bases. The Catalogue tab opens first.
- Find the knowledge base.
- Edit the Name. The change saves a moment after you stop typing.
Write a good description
- Find the knowledge base.
- In Description, say what is in it and when to reach for it. The change saves a moment after you stop typing.
Write for the agent, not just for people. For example:
Our customer contracts and order forms from 2021 onwards. Use for questions about contract terms, renewal dates, service levels and pricing agreed with a named customer.
A good description:
- names the kind of documents it holds;
- says what questions it can answer;
- mentions any limits, such as dates or regions covered.
What to expect
- New names appear wherever the knowledge base is shown in Paradym Next.
- Agents use the updated description the next time they decide which knowledge base to search.
Good to know
- The embedding model cannot be changed here or anywhere else. It is fixed for the whole life of a knowledge base. The workspace’s embedding model is set in AI & Models.
- Knowledge bases shared with you from other workspaces are read-only, so they are not listed here.
- If the page says This workspace has not created any knowledge bases yet., create one from Context & Agents → Knowledge Bases first.
