Administration
Members
Invite people to your workspace, keep their details up to date and decide what they can access.
The Members page is your organisation’s directory. Every person who can sign in to Paradym Next is listed here, with their job title, access role, start date, departments and teams. From here you can invite new people, change someone’s details or role, and deactivate people who have left.
Before you start
- To open this page, your role must include access to people management.
- To invite or edit members, your role must also allow you to make changes. Without it, the page is read-only and New member is hidden.
- To change someone’s access role, your role needs permission to manage access. Without it, the role control is switched off and shows “You don’t have permission to do this” when you hover over it.
To open the page, select Administration → Members in the sidebar.
Understanding the page
Members are listed in a table, 25 at a time.
| Column | What it shows |
|---|---|
| Member | The person’s name, with their username underneath. |
| Title | Their job title. This is a description only — it does not change what they can access. |
| Role | Their access role, which decides what they may see and do. Roles are defined in Roles & Permissions. |
| Join date | The start date set when they were invited. |
| Departments | One chip per department, showing the department’s code in its colour. A dash means they are not in a department yet. |
| Teams | One chip per team code. Team membership is changed on the Teams page, not here. |
Below the table you can see how many members there are in total. When there is more than one page, use Previous and Next to move between pages.
Invite a member
Inviting someone creates their account and lets them sign in.
- Select New member.
- In the Invite member dialog, enter their Full name and Email.
- Choose their Job title.
- Select the Departments they belong to.
- Choose their Access role — what they may do, as set in Roles & Permissions.
- Set their Start date, and optionally their Seniority, Hours / week and Working pattern (Full time, Part time or Contract).
- Select Send invite.
The person receives an invitation by email. Once they accept it and set up their sign-in, they can use Paradym Next. See Signing in.
Edit a member
- Find the member in the list.
- Select the edit (pencil) button at the end of their row.
- In the Edit member dialog, change their name, job title, departments, access role, seniority or working pattern.
- Select Save changes.
Change someone’s access role quickly
If you can manage access, you can change a member’s role directly in the Role column. Pick the new role from the list. The change takes effect straight away — the next time the member loads a page, they see the sections their new role includes.
Deactivate or reactivate a member
When someone leaves, deactivate them rather than deleting them. Their history — tasks, reviews, comments — stays intact.
- Open the member with the edit button.
- Switch Active off. Inactive members can’t sign in.
- Select Save changes.
Deactivated members are hidden from the list by default. To see them, for example to reactivate someone, turn on Show deactivated above the table. Then edit the member and switch Active back on.
Find a member
Type in Search members… to search across every member, not just the page you are on. If nothing matches, the table shows “No members match” followed by your search.
Good to know
- Job title and access role are different. A job title such as “Senior Engineer” is descriptive. The access role decides permissions.
- Teams are managed elsewhere. To add someone to a team, open Teams and edit the team.
- Departments affect reviews. Being a member of a department does not make someone a reviewer. Reviewers are marked on the Departments page.
