Parking, withdrawing and promoting
Pause, stop, restart or withdraw a portfolio item, or promote it to the delivery Intake Queue.
Not every item moves smoothly from the first planning step to delivery. Priorities change, a PRD goes out for review too early, or an idea turns out not to be worth pursuing. Paradym Next lets the item’s owner set an item aside without losing its planning, stop it altogether, take it back from reviewers, or start planning again from scratch.
When planning is complete and every PRD section is approved, the owner hands the item to delivery by promoting it to the Intake Queue.
Before you start
- Only the item’s owner, or an administrator, can take these actions. If you are viewing the item read-only, you do not see them.
- Most of these actions are in the More actions menu (the three dots) in the item’s header. Which options appear depends on where the item is.
| Option | When it appears |
|---|---|
| Withdraw from review | The PRD is out for review. |
| Park feature | The item is active, and not in review or in delivery. |
| Resume planning | The item is parked or marked as not pursuing. |
| Restart planning | Planning has started. |
| Not pursuing | The item is active, and not in review or in delivery. |
Where an item is in its lifecycle
The Step column in the Portfolio, and the item’s status, show where the item is.
| Status | What it means |
|---|---|
| A step name, such as Requirements | The item is active and in planning. |
| In review | The PRD is out with reviewers. |
| Parked | Set aside for now. Its planning is kept. |
| Not pursuing | Stopped. It can be reopened later. |
| In delivery | Promoted to the Intake Queue. |
| Handed back | A child item that has sent its work to its parent. |
| Cancelled | A child item its parent no longer needs. |
Park an item
Park an item when it is worth keeping but not a priority now. It moves out of the active portfolio so it stops cluttering the list.
- Open the item and select More actions.
- Select Park feature.
- Optionally, enter a Reason. It is recorded in the item’s history.
- Select Park feature.
The item moves to the Parked view of the Portfolio. All its planning is kept.
Mark an item as not pursuing
Use this when you have decided not to go ahead with the item.
- Open the item and select More actions.
- Select Not pursuing.
- Optionally, enter a Reason.
- Select Not pursuing.
The item moves to the Not pursuing view of the Portfolio. You can reopen it later if priorities change.
Resume a parked or stopped item
- Find the item in the Parked or Not pursuing view of the Portfolio, and open it.
- Select More actions, then Resume planning.
The item returns to the active portfolio, with its planning as it was.
Restart planning
Restarting clears everything Next has drafted for the item and starts again from the Overview. Use it when the item has changed so much that the existing drafts are no longer useful.
- Open the item and select More actions.
- Select Restart planning.
- Read the confirmation, then select Restart planning.
Withdraw an item from review
Withdrawing takes a PRD back from its reviewers so you can edit it again. Use it if you sent the PRD out too early, or if something important has changed.
- Open the item and select More actions.
- Select Withdraw from review.
- Read the confirmation:
- If no reviewer has acted yet, withdrawing simply returns the item to editing. You will be able to change the requirements and the PRD again.
- If reviewers have already responded, a warning shows how many sections are approved, flagged or in revision. Withdrawing resets their activity: approved sections return to draft, and any AI revisions in progress are discarded. You can enter a Reason, which is recorded.
- Select Withdraw feature.
Editing is unlocked again. When you are ready, send the PRD for review again. See Review step.
Promote an item to the Intake Queue
Promoting hands the item to delivery. It is the last action in planning.
- Make sure every PRD section has been approved and all review feedback has been resolved. The Review step says All feedback resolved. See Review step.
- On the Review step, select Promote to Intake Queue in the action bar.
- Read the confirmation, Hand off to delivery. You will not be able to edit the item in planning after this.
- Select Promote to Intake Queue.
A confirmation says the item has been promoted. It moves to the In delivery view of the Portfolio, and delivery can now set it up as a project.
What happens next
- Parked and not pursued items stay in the Portfolio under their own views. Nothing is deleted.
- A promoted item becomes an item in the delivery Intake Queue, where it is triaged and set up as a project. See Intake Queue.
- Every one of these actions is recorded in the item’s activity.
Good to know
- You cannot park an item, or mark it as not pursuing, while it is in review. Withdraw it from review first.
- A child item raised by a Sub-workflow step does not use these options to finish. It finishes by handing back to its parent, or is cancelled from the parent’s step. See Sub-workflow step.
