Intake Queue
See every piece of work handed to delivery, find the item you need, and raise a request yourself.
The Intake Queue is the front door to delivery. Every piece of work that delivery has been asked to take on lands here first: features handed over from planning, internal requests, support escalations, alerts and dependencies discovered inside other work streams.
Nothing in the queue is being delivered yet. Each item waits here until a lead shapes it into work streams and tasks and promotes it into a project. The queue gives delivery leads one place to see what is waiting, how urgent it is and how long it has waited.
Before you start
Open the queue from Delivery → Intake Queue in the sidebar.
How items arrive in the queue
| Source | How it gets here |
|---|---|
| Feature concept | Planning promoted a portfolio item to delivery. See Parking, withdrawing and promoting. |
| Internal request | Someone raised a request directly with Raise request, or started a new work stream from a project. |
| Support | A support issue was escalated to delivery. Shown only if your organisation uses Support. |
| Alert | A monitoring alert was raised as a request. |
| Work stream spawn | Someone working on a work stream found a dependency that needs its own work stream. See Work stream board. |
Understanding the queue
Each row is one item handed to delivery. Select a row to open the item.
| Column | What it shows |
|---|---|
| Item | The item’s title. Select it to open the item, shape it into work streams and promote it. |
| Priority | Critical, High, Medium or Low. The queue is sorted by priority unless you choose otherwise. |
| Source | Where the item came from. See the table above. |
| Initiative | The initiative the item’s portfolio item belongs to. Hover for the roadmap too. A dash means it is not linked to one. Shown only if your organisation uses initiatives. |
| Status | Where the item is in the queue. See the next table. |
| Raised by | The person who submitted the item. |
| Waiting | How long since the item was submitted. Hover for the exact date. |
Statuses
| Status | Meaning |
|---|---|
| New | Nobody has picked the item up yet. |
| In setup | The item has a lead or at least one work stream owner, and is being shaped. |
| Promoted | The item has been promoted into a project. It is now read-only. |
| Declined | A lead decided the work will not go ahead. It is now read-only. |
New and In setup items are open. Promoted and Declined items stay in the list but are greyed out.
Find an item
The queue opens on Open items, which means items that are New or In setup.
- Choose a Status filter to change what is shown: Open, Promoted or Declined.
- Filter by Source or Initiative to narrow the list further.
- Search to match words in an item’s title or description.
- Sort by Priority, Waiting, Item or Initiative.
If your filters hide every item, the queue says how many items are hidden. Select Clear filters to see everything again.
Raise a request
Use Raise request to put work in the queue without going through planning. This suits technical debt, maintenance, security fixes and other work that does not need a full planning cycle.
- Select Raise request at the top right of the page. The Raise an intake request dialog opens.
- Enter a Title. This is the only required field.
- Enter a Description with any context, motivation or relevant detail.
- Choose a Source: Internal request, Support, Alert or Work stream spawn. It starts as Internal request.
- Choose a Priority: Critical, High, Medium or Low. It starts as Medium.
- Select Submit request.
The new item appears in the queue, highlighted for a moment so you can spot it, with the status New.
What happens next
A lead opens the item, chooses the project it will be delivered in, splits it into work streams and drafts the tasks. When everything is ready, the lead promotes it and its status changes to Promoted. See Intake item.
If the queue is empty, you see The queue is clear. New items arrive when planning hands a feature over, support escalates an issue, or a request is approved.
Good to know
- The queue shows 25 items per page.
- An item handed over from planning keeps a link back to its feature concept, so you can always see where it came from.
- Opening a promoted item shows Open project, which takes you to the project it was promoted into.
