Working on a task

Open a task from My Tasks to update its status and details, break it into subtasks, attach your work, talk about it and export it as a prompt.

When you select a Task row in My Tasks, the task opens on its own page. This is the same task view used on work stream boards, shown full page. Everything you need is in one place: what needs doing, the requirements it delivers, the PRD sections behind it, its files and the conversation about it.

Tasks come from two places: project work streams in Delivery, and planning work streams that sit on a step of a portfolio item.

Before you start

What you can change depends on your access:

Your accessWhat you can do
You can edit tasksChange every field, use templates, add subtasks, attach and remove files, and comment.
The task is assigned to you on a planning work stream, but you cannot edit tasksChange the status, comment, attach files and remove the files you attached. You cannot change the task’s other details.
You can only view tasksRead the task and its whole conversation.

When a planning work stream has been completed, its tasks become a read-only record.

Understanding the task page

AreaWhat it shows
TitleThe task’s name.
PropertiesStatus, Priority, assignee, dates and Estimate.
Tags and RelationshipsLabels on the task, and the requirements it is linked to.
BodyThe description and acceptance criteria, or sections from a task template.
SubtasksSmaller steps you tick off as you go.

Related requirementsThe requirements this task delivers, with their acceptance criteria. Only shown when there are some.
Related PRDThe PRD sections the task comes from. Only shown when there are some.
Comments and ActivityThe conversation about the task, and a record of who moved or assigned it.

The breadcrumb at the top shows My Tasks and the task’s name. On the right are Share and Export prompt, and — for a task on a planning work stream — Open in planning.

Update the task’s status and details

  1. Select the status chip and choose a new status.

The status is the board column the task is in, so changing it here moves the task on the board.

  2. Select Priority to choose Low, Medium, High or Critical.

  3. Select the assignee chip, or Assign, to choose who the task is assigned to. Select Unassign to clear it.

  4. Select Set dates to choose a start and due date.

If the task is overdue, the dates turn red.

  5. Select Add estimate to choose a size in points: 1, 2, 3, 5, 8 or 13.

To rename the task, select its title, type the new name and click away.

Add tags

  1. Select Add tag… next to Tags.
  2. Type the tag and press Enter.

To remove a tag, select × on it.

Describe what needs doing

A task’s body holds its description and acceptance criteria, or a set of sections from a task template.

If the body is empty and you can edit the task:

  1. Under Start from a template, select a template. The default template is marked Default.

The template’s sections are added, each with a prompt telling you what to write.

  2. Or select or start blank to add a single empty section.

Once the task has sections, you can:

  • select a section heading to rename it
  • select the delete icon beside a heading to remove that section
  • select Add section to add another
  • select Apply template to add a template’s sections to the end

Break the task into subtasks

  1. Under Subtasks, select Add a subtask….
  2. Type the subtask and press Enter.
  3. Select the circle beside a subtask to tick it off. Select it again to untick it.

Attach files

  1. Under Attachments, select Attach, or select Drop a file or click to attach when there are none yet.
  2. Choose the file.

Each attachment shows who added it and when. Select its name to open it. To remove one, hover over it and select ×.

Files on a planning work stream

On a planning work stream, the files you produce go to the portfolio item’s Files. When you move the task to a done column, its files are sent straight away; otherwise they go when the work stream is completed. You can see where each file has got to:

LabelMeaning
Sending to Files…The file is on its way to the item’s Files.
In FilesThe file is now in the item’s Files.

If a file has not been sent — for example, one you attached after finishing the task — select Send to Files beside it. As the assignee, you can do this once your task is done.

Check the work against requirements and the PRD

  • Related requirements lists each requirement the task delivers, with its code, description and Acceptance criteria. Use it to check your work.
  • Related PRD lists the PRD sections behind the task. Select a section to expand it and read it.

Comment on the task

  1. In the Comments panel, type in Write a comment… use @ to mention someone.
  2. To mention someone, type @ and choose them from the list.
  3. To add files, select the attach button.
  4. Select Comment, or press ⌘↵ (Ctrl+Enter on Windows).

You can react to a comment from underneath it. The Activity list below the comments keeps a record of who moved or assigned the task, and when.

Share the task

Select Share. A link to the task is copied to your clipboard, and you see Link copied.

Export the task as a prompt

Export prompt turns the task and its context into a Markdown prompt you can paste into any AI tool.

  1. Select Export prompt.

A preview of the prompt opens. It includes the task’s title, project, work stream, status, priority, assignee, due date, the task’s details and its context.

  2. Select Copy to clipboard, or Download .md to save it as a file named after the task.

Open the task in planning

If the task belongs to a planning work stream, select Open in planning to jump to that step of the portfolio item. This link is shown only if you can open planning.

What happens next

When you move the task to a finished column, it leaves Needs you in My Tasks and appears under Signed off for the next 7 days. Return to the list with My Tasks in the breadcrumb.
