Signing off PRD sections
Review the PRD sections assigned to you, then approve each one for delivery or send it back to the owner with the changes you need.
Before a portfolio item moves into delivery, the people responsible for each area sign off the parts of its PRD (product requirements document) that concern them. When a product manager asks you to review, the request appears in My Tasks as a Review. You only sign off the sections assigned to you, but you can read the overview and the full PRD for context.
Your sign-off matters: an approved section is cleared for delivery, and a change request goes straight back to the owner to act on.
Before you start
- Open My Tasks and select a row with the type Review. You can also open a sign-off from a notification or from search.
- To approve or request changes, your role needs permission to review planning items. Without it, you can read the sections but not act on them.
Understanding the sign-off screen
The screen has a rail on the left and the selected section on the right. On smaller screens, the rail sits above the section.
| Area | What it shows |
|---|---|
| Overview | The concept overview behind the PRD — the case the owner is asking you to sign off against. |
| Your sections | Only the PRD sections assigned to you, with a count of how many you have signed off, for example 2/5 signed off. If the workflow splits the PRD across several steps, the sections are grouped by step. |
| Full PRD | Every section of the PRD, for context, with the total number of sections. |
| Concept score | The item’s score out of 100, how much it has moved since planning began, and a small chart of its history. |
Each section in the rail has a coloured dot and, sometimes, an icon:
| Marker | Meaning |
|---|---|
| Blue dot | The section needs your review. |
| Blue dot with a refresh icon | The owner revised the section since you last looked. |
| Yellow dot | The owner declined your change request. |
| Grey dot | You requested changes and are waiting for the owner. |
| Green dot with a tick | You signed the section off. |
Section statuses
At the top of a section you see its status and how long ago it was assigned or updated, along with who requested your sign-off.
| Status | What it means | Where it sits in My Tasks |
|---|---|---|
| Needs your review | The section is waiting for your first review. | Needs you |
| Revised since your review | The owner has revised the section in response to your change request. | Needs you |
| Declined — acknowledge | The owner decided not to make your change. | Needs you |
| Waiting on owner | You requested changes. | Waiting |
| Signed off | You approved the section. | Signed off |
Review a section
- Select a section under Your sections.
- Read the section in the Your section panel.
- If you need more context, select Overview or Full PRD in the rail.
- Approve the section, or request changes.
Approve a section
-
Check the box at the bottom of the section, which reads Ready for your sign-off.
-
Select Approve section.
You see Section approved, and the section shows You signed off this section. It is cleared for delivery and will not come back to you.
Request changes
-
Select Request changes.
-
Describe What needs to change, and why? Be specific — the owner acts on your note.
-
Select Send back to owner.
You see Changes requested. The section moves to Waiting in My Tasks and shows Waiting for … to respond to your change request.
To close the note without sending it, select Cancel.
Review a revised section
When the owner revises a section in response to your request, it comes back to you as a new round and moves back to Needs you.
- Open the section. It shows Revised since your review.
- Read the thread above the section: what you requested, and the owner’s response.
- Read The revised section. Select Show changes to highlight exactly what changed — added text in green, removed text struck through in red. Select Hide changes to return to the clean version.
- In the box that reads Your change has been made, select Approve section, or select Request changes to send it back again.
Acknowledge a declined change
If the owner decides not to make your change, the section shows Declined — acknowledge, with the owner’s reason.
-
Read the reason.
-
Select Acknowledge.
You see Acknowledged.
What happens next
An approved section is cleared for delivery. Each section you approve moves to Signed off in My Tasks, where it stays for 7 days. When nothing on the item needs you, the screen shows Nothing here needs your review.
Good to know
- You cannot sign off sections that are not assigned to you, even though you can read them under Full PRD.
- The Concept score shows the number since the first planning step, in green if it has gone up and red if it has gone down. See Prioritisation for how scores are set up.
