Project overview

See whether a project will land on time, what needs attention, and the milestones, updates and details that describe it.

The Overview tab is the first thing you see when you open a project. It answers the questions people ask most often: will it land on time, what is holding it up, which work streams need attention, and what has happened recently.

Everything else about the project sits on the tabs beside it, and the project’s details sit in a panel on the right.

Before you start

Open a project by selecting it on the Projects page.

What you can change depends on your role and your part in the project. The project owner and delivery leads can usually edit the project’s details, milestones and description. Everyone who can see the project can read the overview.

The overview

SectionWhat it shows
DescriptionA short description of what the project changes, and for whom.
ForecastWhether the project will land on time, the work stream holding it up, overall progress and how the streams are doing.
MilestonesThe dates the project is judged against.
Work streamsEach work stream, with anything that needs attention, plus risks raised on the project itself.
UpdatesThe latest project update and recent events.

Write the description

  1. Select the text under the project’s name. When empty, it reads Add a description — what this project changes, and for whom.
  2. Type the description.

It saves as you type.

Read the forecast

The forecast box shows:

  • A headline against the target date, with a coloured dot. Green means the project is on plan. Amber means it is at risk or late, with how far out it is.
  • The work stream holding the project up, if there is one, for example Payments API is holding it. Select its name to open its board.
  • Overall progress as a bar and a percentage.
  • How many work streams are on track, at risk, blocked and done.

If you see No target date yet. Set the planned window in Project details., set the Planned dates in the details panel to get a forecast.

Add and edit milestones

Milestones are the dates the project is judged against. They also appear as diamonds on the timeline.

Add a milestone

  1. Select Milestone beside the Milestones heading.
  2. Enter the milestone name and its due date.
  3. Select Add, or press Enter.

Edit milestones

  1. Select Edit beside the Milestones heading.
  2. Change a milestone’s name, status or due date. Each change saves as you make it.
  3. Drag the handle on the left of a row to reorder milestones.
  4. Select the bin icon to delete a milestone, then Delete to confirm.
Milestone statusMeaning
PlannedNot yet reached.
In progressWork towards it is under way.
At riskIt may be missed.
CompleteIt has been met.

The heading shows how many milestones are met, for example 2 of 5 met.

See which work streams need attention

The Work streams section lists each stream with its health, name, owner and progress. When something needs attention, a chip explains what, for example:

  • A gate that is ready for your approval.
  • A sign-off that is waiting on you.
  • Open risks, with the age of the oldest.
  • A stream that is blocked or at risk with no risk logged.
  • A setup gap, such as a stream that still needs something before it can start.

Risks raised on the project itself appear at the top of the list. Completed streams are greyed out. Select a stream to open it, or All streams to go to the Work streams tab.

Post an update

Updates keep everyone in the loop on how the project is going.

  1. Select Post update in the Updates section.
  2. Write where the project stands, what changed and what needs a decision.
  3. Select Post update, or press ⌘↵.

You see Posted to the timeline. The update appears at the top of the Updates section and on the Activity tab. Select All activity for the full history.

Use the project menu

Select … at the top right of the page for project actions.

ActionWhat it does
Rename projectChange the project’s name.
Raise a riskRecord a risk on the project itself, such as funding, a dependency outside delivery or a decision pending. Risks about a work stream are raised on that stream.
Copy linkCopy a link to the project.
Delete projectPermanently remove the project and its delivery history.

You only see the actions your role allows.

What happens next

From the overview, open a work stream to see its board, or use the Timeline tab to check the schedule and dependencies. See Work stream board.
