Workflows
Manage the reusable workflow templates that delivery work streams run on, and arrange them into groups.
When an item is promoted to delivery, its work is split into work streams. Each work stream runs on a workflow template: a pipeline of boards, where the work is done, and gates, where it is checked and approved. The Workflow tab in Governance → Delivery is where those templates are kept.
Good templates mean every team delivers in a consistent way, with the right approvals in the right places, without setting up each work stream by hand.
Before you start
- You need permission to change Governance settings to create, edit, group or delete templates. Without it, each template shows View instead of Edit, and the New group, + and ⋯ controls are hidden.
- If you cannot see this page, your organisation may not use it, or your role may not include it. See Understanding roles.
Understanding the Delivery tabs
Governance → Delivery opens on Workflow. Its tabs are:
| Tab | What it sets |
|---|---|
| Workflow | The templates work streams run on. This page. |
| Promotion | The steps before an item reaches delivery. See Promotion. |
| Next Studio | The agents and coding models Next Studio uses. See Next Studio. |
| Projects | How project statuses read. See Project statuses. |
| Integrations | The outside systems work can be handed to. See Integrations. |
Understanding the Workflow list
Templates are listed by group, followed by Other workflows for templates in no group. If you have no groups, the list is simply titled Workflows.
Each template shows:
| Item | What it means |
|---|---|
| Name and description | What the template is called and what it is for. |
| Pipeline | The template’s steps in order. Boards are shown as coloured tags; gates are marked ◇ with their type, such as ◇ Approval; dashed tags are slots for sub-work streams. |
| Summary | The number of boards and gates, and the estimated total days if boards have estimates, for example 3 boards · 2 gates · ~15 days est. |
| Edit or View | Opens the template in the work stream template editor. |
| ⋯ | Move to another group, or Delete. |
Create a template
- Open Governance → Delivery. The Workflow tab opens first.
- Select + at the bottom of Other workflows, or at the bottom of a group to create the template in that group. If there are no templates yet, select New workflow.
- Build the template in the editor and select Save template.
See Work stream template editor for how to build one.
Edit a template
- Find the template.
- Select Edit.
- Make your changes in the editor and select Save template.
Arrange templates into groups
Groups arrange this list and label projects with their work streams’ groups. They change nothing about how a workflow runs.
Create a group
- Select New group.
- Enter a Name, such as Modernisation.
- Select Create.
Move a template into or out of a group
- Select ⋯ on the template.
- Choose Move to, then pick a group, or Other workflows to take it out of its group.
Rename, reorder or delete a group
- Select ⋯ beside the group’s heading.
- Choose Rename, Move up, Move down or Delete group.
Deleting a group does not delete its templates. They move to Other workflows, and nothing about them changes.
Delete a template
- Select ⋯ on the template.
- Choose Delete.
- Select Delete again to confirm.
Work streams already running on the template keep their copy of its steps.
What happens next
New work streams created in the Intake Queue can use any template listed here. Projects show the groups of their work streams’ templates, which helps you see at a glance what kind of work a project contains.
