Promotion
Choose the steps someone works through in the Intake Queue before an item can be promoted to delivery.
When planning is finished, an item arrives in the Intake Queue. There, someone prepares it for delivery: splitting its requirements into work streams, setting each work stream up, drafting tasks and, usually, reviewing what each work stream owner sends back. Only then can the item be promoted into a project.
The Promotion tab in Governance → Delivery decides which of those steps your organisation uses.
Before you start
- You need permission to change Governance settings to edit this page. Without it, you see View only — you don’t have permission to change these settings. and the switches are off.
- If you cannot see this page, your organisation may not use it, or your role may not include it. See Understanding roles.
Understanding the steps
The Steps before delivery list shows the steps in the order they happen.
| Step | Can it be switched off? | What happens in it |
|---|---|---|
| 1. Work streams | No — Always on | The item’s requirements are split into work streams. |
| 2. Assignment | No — Always on | Each work stream is set up, placed in a project and given dates. |
| 3. Tasks | No — Always on | Tasks are drafted for each work stream. |
| 4. Review | Yes | Each work stream is reviewed and accepted after its owner hands it back. |
A step that is switched off is shown faded. Under the list, a summary says how many steps are in use, for example 4 steps, then promote.
Switch the Review step on or off
- Open Governance → Delivery and select the Promotion tab.
- Switch Review on or off. The change saves straight away. Saving… and then Saved appear beside the heading.
What to expect
- With Review on, each work stream must be reviewed and accepted before the item can be promoted.
- With Review off, a work stream is accepted as soon as its owner hands it back.
Good to know
Switching Review off speeds up promotion, but nobody checks what work stream owners send back before the work starts. Many organisations keep Review on for large or high-risk items.
